Privacy Policy
Effective October 30, 2026
This Privacy Policy explains what information Mandate Proxy ("Mandate Proxy", "we", "us") collects, why, who receives it, how long we keep it and the choices you have. It covers www.mandateproxy.com, help.mandateproxy.com, the chat with Proxy, the client page, our email and text messages, and the services we provide. Mandate Proxy is a service of Multideas Media Group, LLC, a Wyoming series limited liability company, acting through its series Media Digital Suites. Our mailing address is P.O. Box 524163, Houston, Texas 77052, USA, and you can reach us about privacy at privacy@mandateproxy.com.
The short version
- We collect what we need to answer you and do the work you hand us, and we keep it only for the periods listed below.
- We do not sell your personal information, and we do not share it for advertising. Our sites do not run advertising pixels or visitor-identification tools.
- Our AI provider processes your messages only to produce what you asked for, and may not use them to train its models.
- Our agents prepare drafts that you review. Nothing is sent in your name without your approval.
- You can ask to see, correct or delete your information at any time.
1. What we collect, why, and how long we keep it
The table lists each reason we use personal information, what we use, the legal basis for using it (which matters under laws such as the GDPR), and how long we keep it. When a period ends, we delete the information or make it impossible to link back to you.
| Why | What we use | Legal basis | How long we keep it |
|---|---|---|---|
| Answering a request for access | Name, email address, mobile number, whether you are an individual or a business, what you would like handed off, and your text message choice. | Steps you ask for before a contract; consent for text messages | 12 months after our last contact with you, unless you become a client |
| Chatting with Proxy on our sites | The messages you type or dictate. If you choose to send your details through the chat: your name, email, what you need done, the time it takes, the tools involved, your timing and, for a business, its name, industry, size and your role. | Steps you ask for before a contract; legitimate interest in answering visitors | The conversation is deleted from our chat server 24 hours after your last message. Details you choose to send are kept like an access request. |
| Keeping the chat fair for everyone | A scrambled (hashed) form of your IP address, counted to apply a daily chat limit for logged-out visitors. | Legitimate interest in preventing abuse | About 35 days |
| Client login | Email address, one-time login codes (stored only in hashed form), login sessions, and a daily count of the messages you send. | Performance of our contract with you | Codes: until used or expired (10 minutes). Sessions: 14 days. Message counts: about 13 months. Research and trial logins end after 30 days. |
| Designing and running a custom agent for your business | Your intake (what you told Proxy), the agent plan, your approval of its limits (your typed name and the time), test results and check-ins. | Performance of our contract with you | 3 years after the last update to the build, then deleted together with your client account |
| The Crew: tasks you hand to our ready-made agents | Your task requests, the drafts our agents write, the supervisor's review notes, and any problems you report. | Performance of our contract with you | Tasks and drafts: 90 days after the last update. Resolved problem reports: 1 year after they are resolved. |
| Remembering how you like things done | Preferences you ask Proxy to remember, and the facts about your business you confirm for your "business brain" (for example services, tone, policies, payment terms and team roles). | Performance of our contract with you; your instructions | Until you remove them on your client page or your account is deleted |
| Routines and weekly reports | The routines you set up, their run history, and a record of each weekly report we email you. | Performance of our contract with you | Routines: until you remove them or your account is deleted. Report records: 1 year. |
| Client records | Your client contact record: name, email, business details and our notes about your service. | Performance of our contract with you; legal obligations | 3 years after you stop being a client |
| Payments | Billing name and email, amounts, invoices and payment records. Card and bank details are entered with our payment providers (Stripe or PayPal) or your bank; we never see or store full card numbers. | Performance of our contract with you; legal obligations (tax and accounting) | 7 years after the payment |
| Service messages by email and text | Your email address, mobile number, and the messages we exchange (replies, task updates, approval requests, login codes, weekly reports). | Performance of our contract with you; consent for text messages | For as long as the record they belong to (access request or client record) |
| Marketing emails (only if you opt in) | Your email address and the record of your consent. | Consent | Until you unsubscribe; the consent record is kept 2 years after that so we can show we respected your choice |
| Booking a call | The name, email and answers you give in our booking calendar (Calendly), and the meeting time. | Steps you ask for before a contract | Like an access request, or a client record if you become a client |
| Answering questions and support emails | Your email address and what you write to us. | Legitimate interest in replying; performance of our contract for clients | 2 years after our last message, or as part of your client record |
| Messages on social media | Your public profile name, and the messages and comments you send our Facebook page. | Consent (you contact us there) | Until you delete them or ask us to. The platform keeps its own copy under its own policy. |
| Referral program | Your name, email, payout details, and the referrals you make. | Performance of our referral agreement; legal obligations | 3 years after you leave the program |
| Hiring | Your resume, contact details, and interview notes. | Steps you ask for before a contract; legitimate interest in hiring | 1 year if you are not hired, unless you ask us to delete it sooner |
| Legal claims and obligations | The records relevant to a dispute, a legal claim or a legal request. | Legitimate interest in establishing or defending legal claims; legal obligations | For as long as the law allows such a claim to be brought, or until the matter is finally settled, if longer |
When you ask us to delete your information, we do it within 30 days, except where the law requires us to keep something (for example payment records), in which case we keep only that.
2. How our AI agents use your information
Proxy and the other agents on our sites and in the Crew are AI systems. To write their replies and drafts, we send the relevant part of your messages, tasks, approved preferences and business facts to our AI provider, Anthropic, and receive the result.
- We send only what is needed for the reply or draft you asked for, and use the result only for that.
- Under its commercial terms, Anthropic may not use this content to train its models, and it deletes it within 30 days unless the law requires otherwise.
- Our agents write drafts and plans. They do not sign in to your accounts, send messages or make payments in your name. A supervising agent checks every draft, and a person on our team reviews every access request and every custom agent plan before work starts.
- We do not use AI to make decisions about you that have legal or similarly significant effects without a person involved.
- If we add another AI provider, we will update this policy before it receives your information.
Speaking to Proxy. If you use the microphone in the chat, your browser turns your speech into text using its own speech service (in Chrome, Google's; in Safari, Apple's), under that company's privacy policy. We never receive the audio, only the text, and only once you choose to send it.
3. Information about other people
Your requests, drafts and business facts may include information about other people, such as your staff, customers or the people you write to. If you give us that information, you confirm that you have the right to share it with us for the work you ask for and that you have told those people about it where the law requires. We use it only to do your work and keep it only for the periods above. People whose information you share can contact you or us with questions or requests.
4. Cookies and similar technologies
We do not use advertising cookies, cross-site tracking or visitor-identification tools. What our sites do store in your browser:
- Client login: if you log in, your browser keeps your login session so you stay signed in (until you log out or it expires after 14 days).
- Chat: while your browser tab is open, it keeps your chat conversation and your choice of Proxy's style, so the chat follows you from page to page. Closing the tab clears it.
- Request access form: the form is provided by our customer management platform. When you submit it, it may keep a small cookie on our site for up to 30 days so it can recognize your earlier submission.
- Booking calendar: the booking calendar on our For businesses page is provided by Calendly, which may set its own cookies when it loads or when you book. See Calendly's privacy policy.
- Fonts and hosting: our pages load fonts from Google Fonts and are delivered by our hosting provider, which receive your IP address and browser details to deliver them.
Because these are needed for the sites to work, we do not ask for cookie consent for them. We honour browser privacy signals such as Global Privacy Control; since we do not sell or share personal information for advertising, there is nothing further to opt out of.
5. Who receives your information
We share personal information only as needed to run our service, never for others' marketing:
- Service providers who work for us under contract and may use it only to provide their service to us: website and application hosting (Cloudflare), our customer management, forms, email and text message platform, our AI provider (Anthropic), our booking calendar (Calendly), payment providers (Stripe and PayPal), and email and text message carriers.
- The websites and people you ask us to act on. When you approve a task, the information it requires goes where you direct it.
- Authorities when the law requires it, such as a court order or legal process, or to protect the rights, property or safety of you, us or others.
- A buyer or successor if our business is reorganized, merged or sold, subject to this policy.
We do not sell personal information, and we do not share it for cross-context behavioral advertising. We have not done so in the past 12 months.
6. Where your information is stored
We are based in the United States, and our service providers store and process information mainly in the United States. If you live elsewhere, your information is transferred to the United States, which may not have the same data protection laws as your country. Where the law requires, we rely on safeguards such as the European Commission's Standard Contractual Clauses in our providers' data processing terms. Contact us for more detail about these safeguards.
7. Text messaging
Mobile numbers and text messaging consent collected for our SMS program are not shared with, sold or rented to third parties or affiliates for their marketing or promotional purposes. Mobile information may be shared with the service providers that deliver our messages, only to deliver them. You can stop texts at any time by replying STOP. See our SMS Terms for program details.
8. Marketing emails
We send marketing emails, such as news and offers, only if you have agreed to receive them. Every marketing email has an unsubscribe link, and you can also ask us at privacy@mandateproxy.com. We stop within 10 business days. Service messages about your requests, tasks or account are not marketing and continue while you use the service; you can turn off the weekly report on your client page.
9. How we protect information
We use administrative, technical and physical safeguards designed to protect your information, and we limit access to the people and providers who need it. No method of transmission or storage is completely secure, and we cannot guarantee absolute security. If a breach affects your personal information, we will tell you as the law requires.
10. Children
Our service is for adults 18 and over. We do not knowingly collect personal information from anyone under 18. If you believe a child has given us personal information, contact us and we will delete it.
11. Your rights
Wherever you live, you can ask us to:
- See the personal information we hold about you and how we use it, and get a copy;
- Correct information that is wrong or incomplete;
- Delete your information, except what the law requires us to keep;
- Move it: receive the information you gave us in a common, machine-readable format;
- Restrict or object to our use of it, including where we rely on legitimate interests;
- Withdraw consent at any time, for example to texts or marketing emails. This does not affect what we did before you withdrew it.
Send requests to privacy@mandateproxy.com. We will confirm your identity, usually by replying to the email address we have on file, and answer within 30 days (we will tell you if we need longer, as some laws allow). You can use an authorized agent; we may ask for proof they act for you. If we decline a request, you can appeal by replying to our answer, and we will review it and respond within the time the law requires. We will not treat you differently for using your rights.
U.S. state privacy rights. Residents of California and other states with privacy laws have the rights above to know, delete and correct their information. Those laws also give a right to opt out of the sale or sharing of personal information and to limit the use of sensitive personal information; we do neither. The categories of personal information we collect are those in section 1: identifiers and contact details, commercial information (requests, tasks and payments), internet activity on our sites (chat messages and a hashed IP count), professional information (your business and role), and inferences only in the form of preferences you confirm.
If you are in the EU, the UK or another country with a data protection authority, you can also complain to that authority, though we would like the chance to resolve your concern first.
12. Keeping your information accurate
You can update your business facts and saved preferences on your client page at any time, and you can email us to correct anything else.
13. Links to other websites
Our sites link to other websites, such as Calendly and our Facebook page. Their own privacy policies apply there, and we are not responsible for how they handle your information.
14. Changes to this policy
We may update this policy. When we do, we change the effective date above, and for important changes we tell clients by email before they take effect.
